Virtual Mail Hub, Inc. (collectively with its subsidiaries and affiliates, "Company," "we," "us," and "our") respects your privacy and is committed to protecting it through our compliance with this Privacy Policy (the "Policy").
This Policy describes:
- The types of information we collect from you or that you may provide when you access or use our website available at www.virtualmailhub.com (the "Website"), our mobile application (the "Mobile Application"), and any related services, portals, or dashboards (collectively, the "Platform").
- Our practices for collecting, using, maintaining, protecting, and disclosing that information.
This Policy applies to information we collect on the Platform, in emails and other electronic messages between you and us, and information gathered when you interact with our advertising on third-party websites if such advertisements include links to this Policy. This Policy applies to your use as a user of the Platform, including as an employee or contractor of our users.
This Policy does not apply to information collected by us offline or through any other means, including on any other website operated by any third party, or information collected by any third party through any application or content (including advertising) that may link to or be accessible from the Platform.
By using the Platform, you agree to the terms of this Policy. We may change this Policy from time to time (see "Changes to This Policy"). Your continued use of the Platform after we post changes constitutes your acceptance of those changes.
User Agreements
Use of the Platform and any user information associated with the Platform may also be subject to separate written agreements (the "User Agreements") between the Company and its users ("Users"). When applicable, specific terms in the User Agreements may supersede this Policy. If you use or submit materials on the Platform as an employee or contractor of a User, you agree to be bound by the User Agreements and any posted guidelines and policies related to such materials. If you do not agree to the applicable User Agreements, you may not use the Platform.
What Information Does the Platform Collect?
To provide you with the best possible experience, we store, use, and share information about you in accordance with this Policy.
Information You Provide to Us
"Personal Information" is information that can be used to identify you, such as:
- First and last name;
- Email address;
- Telephone number;
- Mailing address;
- Payment information (e.g., credit card or other payment details processed for purchases); and
- Comments or messages provided in free-text fields.
You may provide us Personal Information when you:
- Request information about our services;
- Submit a support request or inquiry;
- Subscribe to emails or newsletters;
- Purchase products or services; and
- Register or create an account on the Platform.

Embedded Web Links. Links in our emails or on third-party websites may include tracking through a redirection system to help us understand link usage and improve marketing performance.
Third-Party Websites and Services. We may work with service providers who use data-collection methods to improve marketing-campaign performance. Data may be collected on the Platform and on websites where our marketing communications appear.
Sensitive Personal Information (Notice for California Residents)
Certain privacy laws (including the California Consumer Privacy Act as amended by the California Privacy Rights Act ("CCPA/CPRA")) define "Sensitive Personal Information" ("SPI") as a subset of personal information that may require additional disclosures.
We do not use or disclose SPI for purposes other than those permitted by applicable law, such as providing the Platform, securing accounts, preventing fraud, and maintaining and improving our services.
Your Choices and Selecting Your Privacy Preferences
If we provide subscription-based communications (e.g., email newsletters), we allow you to make choices about what information you provide at the point of collection or afterward. Transactional or service-oriented messages are typically excluded because they are required to respond to your requests or provide services.
We will not intentionally send you marketing emails unless you consent. You may opt out at any time by selecting the "unsubscribe" link at the bottom of each email; opting out may affect certain services where email communication is required.
Text Messaging. We may offer SMS/text messages, pre-recorded voice messages, or auto-dialed calls for authentication and service updates. By providing your mobile number, you consent to such communications in accordance with our Terms of Use. No purchase is required to opt in, and you may opt out at any time.
Accuracy and Access to Your Personal Information
We strive to maintain and process your information accurately and have processes in place in accordance with applicable governance and legal requirements. Where we can provide you access to Personal Information, we may ask you to authenticate your identity (e.g., via username and password).
To view and change Personal Information you have provided, you can log in to your account and follow the on-screen instructions, or contact us for assistance.
Information of Minors
We do not intentionally collect information from individuals under the age of eighteen (18). The Platform is not directed to minors. If we become aware that we have collected Personal Information from a minor, we will take steps to securely delete it.
How We Use Your Information
We use information to provide and improve the Platform and our services, including to:
- Facilitate account creation and authentication;
- Personalize your experience and enforce our Terms of Use;
- Detect and prevent malicious activity and maintain security;

We do not sell or lease your Personal Information. The Platform may link to third-party websites and services. This Policy does not apply to third-party sites. We encourage you to review their privacy policies before providing any information.
Your California Rights (CCPA/CPRA)
California consumers may have additional rights under the CCPA/CPRA, subject to identity verification and legal limitations, including the right to request access to, deletion of, correction of, and portability of their personal information, as well as the right to opt out of the sale or sharing of personal information (for targeted advertising) where applicable. We do not sell personal information.

Limit the Use and Disclosure of Sensitive Personal Information. Where applicable, you may request that we limit SPI use and disclosure to purposes permitted by law by emailing support@virtualmailhub.com.
United States Regional Privacy Rights
Residents of certain U.S. states (e.g., Virginia, Colorado, Connecticut, Utah, and others) may have additional rights under applicable state privacy laws. Depending on your state of residence, these may include rights to access, delete, correct, obtain a portable copy of, and opt out of targeted advertising, sale (if applicable), and certain profiling.

For Platform Visitors in the European Union ("EU")
Under the General Data Protection Regulation (Regulation (EU) 2016/679, "GDPR"), individuals in the EU are afforded specific rights with respect to their personal data. For the purposes of this Policy, the Company generally operates as a data controller. Personal data may be processed in the United States and other countries that may not have the same privacy laws as your country of residence; we will process personal data in accordance with this Policy and applicable law.

We may use service providers ("processors") to help operate the Platform. Processors are authorized to process personal data only as necessary to provide services to us and are required to protect personal data in accordance with this Policy and applicable law.
For Platform Visitors in Australia
If you access the Platform in Australia, we are subject to the Privacy Act 1988 (Cth). We will not use or disclose Personal Information for direct marketing unless permitted by law (e.g., with your consent or where you would reasonably expect it). You may opt out using unsubscribe mechanisms provided in our communications.
Our servers are located in the United States. We and our subcontractors may store or process Personal Information outside Australia. We require subcontractors to comply with the Australian Privacy Act as applicable. You may request access to or correction of your Personal Information by emailing support@virtualmailhub.com.
For Platform Visitors in Brazil
Under Brazil's Lei Geral de Proteção de Dados ("LGPD"), individuals may have rights regarding their personal data, including access, rectification, deletion, restriction, portability (where applicable), and the right to withdraw consent (where processing is based on consent).

Location of Main Services
Virtual Mail Hub, Inc. is headquartered in New York, United States. To provide the Platform, we may store, process, and transmit information in the United States and other locations. Regardless of where information is processed, we will process it in accordance with this Policy.
Changes to This Policy
If we make material changes to this Policy, we will post the revised Policy on the Platform and update the "Last Revised" date above. We encourage you to review this Policy periodically for any updates.
Safeguarding the Information We Collect
We use reasonable technical, administrative, and physical safeguards designed to protect Personal Information against unauthorized access, loss, misuse, or alteration. No method of transmission over the Internet or electronic storage is completely secure. You are responsible for safeguarding your account credentials and for notifying us of any suspected unauthorized use of your account.
